EMBOLDEN WOMEN’S RETREAT AGREEMENT

OVERVIEW

This retreat is a curated, invitation-based gathering designed for Christian women (18+) seeking intentional time with God, spiritual renewal, rest, and community.

This is not an open-registration event. Each attendee is personally reviewed, prayerfully considered, and officially invited before being extended the opportunity to register.

Spaces are intentionally limited and held in advance for those specifically invited into this experience.
 

WHAT’S INCLUDED

  • 3 nights and 4 days of lodging

  • Welcome dinner, daily breakfasts and lunches, beverages and snacks (dietary needs accommodated where possible)

  • Two dinners out at a restaurant are not included in the registration cost.

  • Private and shared accommodations

  • Teaching sessions, worship, and guided ministry

  • One optional group outing (not included in retreat cost)
     

REGISTRATION & INVITATION PROCESS

Attendance follows a two-step process:

  1. Application Submission – does not guarantee acceptance

  2. Official Invitation + Registration – extended only to approved applicants

A space is only considered fully reserved once:

  • You have received an official invitation, and

  • Registration is completed, including deposit payment

Each space is held specifically for you within a limited group.
 

PAYMENT TERMS

A non-refundable deposit of $200 is required to secure a reserved space.

Payment options may include full payment or installment plans, as made available at registration.

All installment plans must be paid in full by the final payment deadline provided at registration.

Failure to complete scheduled payments may result in cancellation of the reservation without refund of amounts previously paid.

The deposit is non-refundable under all circumstances.
 

CANCELLATION POLICY

Because this retreat is a curated and limited gathering, each space is intentionally reserved and prepared in advance.
 

If you are unable to attend, the following applies:
 

BEFORE AUGUST 1, 2026

You may receive a refund of payments made, minus the $200 non-refundable deposit.
 

AFTER AUGUST 1, 2026

All payments are non-refundable, with no exceptions.

The deposit is always non-refundable and secures your held invitation.
 

If a cancellation occurs after August 1, 2026, we are generally unable to offer refunds due to the proximity of the retreat and commitments already made on your behalf. However, in the event that we are able to fill your reserved space from the waitlist, we may—at our discretion—issue a partial refund based on the recovered funds.
 

TRANSFERS

In select cases, and at the sole discretion of the organizer, you may request to transfer your reserved space to another approved applicant from the waitlist.

Transfers are:

  • Not guaranteed

  • Only approved if your space can be filled

  • Must be completed prior to the retreat start date
     

WAITLIST & HELD SPACES

Because this is a curated gathering with limited capacity, any canceled space may be offered to an approved applicant from our waitlist.

For this reason, all spaces are considered held and intentionally assigned, and we are unable to make exceptions outside of the stated policy.
 

ORGANIZER CANCELLATION

In the unlikely event that Embolden Co. must cancel the retreat, all retreat payments will be fully refunded.

We are not responsible for any additional expenses incurred, including but not limited to:

  • Airfare

  • Transportation

  • Lodging outside retreat accommodations

  • Travel insurance
     

FORCE MAJEURE

Organizer shall not be held liable for delay or cancellation due to circumstances beyond reasonable control, including but not limited to:
natural disasters, severe weather, illness outbreaks, government restrictions, or other unforeseen events.

In such cases, the retreat may be rescheduled, modified, or canceled. Refunds or credits will be issued where feasible based on funds received by Embolden Co.
 

A NOTE ON THIS INVITATION & POLICY

This retreat is a curated spiritual gathering, not an open enrollment event.

Each space is prayerfully considered, held in advance, and prepared with care for the woman who will step into it.

Because of this, last-minute cancellations can impact both the flow of the retreat and the spaces that were thoughtfully reserved.

This policy simply exists to honor the women who say yes, steward what is held in advance, and protect the peace and integrity of our time together.
 

MEDIA CONSENT

By attending, you grant permission for photos and video to be taken and used for promotional purposes unless you notify us in writing prior to the retreat.
 

HEALTH & PARTICIPATION

By registering, you acknowledge that you are physically able to participate in retreat activities, including walking and optional excursions.

You agree to communicate any relevant health concerns or dietary needs in advance.
 

PERSONAL RESPONSIBILITY

You are responsible for:

  • Your travel arrangements and documentation

  • Your personal belongings

  • Purchasing travel insurance (recommended)

  • Your conduct during the retreat
     

COMMUNITY EXPECTATIONS

This is a Christ-centered, sacred environment.

All attendees agree to:

  • Honor confidentiality

  • Respect others

  • Participate in a spirit of unity and care

  • Contribute to a peaceful and welcoming atmosphere
     

AGREEMENT

By completing registration, you acknowledge and agree to:
 

  • All terms outlined in this agreement

  • Participation in a respectful, Christ-centered environment

  • Allowing reasonable adjustments to the schedule or accommodations if needed

1. PURPOSE

This agreement governs participation in the Embolden Women’s Retreat 2026, a curated, invitation-based event with limited capacity.

Attendance is restricted to individuals who have been reviewed, approved, and formally invited by the Organizer.

2. REGISTRATION PROCESS

Participation requires completion of a two-step process:

  • Submission of application (does not guarantee acceptance)

  • Receipt of formal invitation and completion of registration with deposit payment

A space is not confirmed until both conditions are met.

Each space is allocated to a specific individual and is held in advance.

3. FEES AND PAYMENT TERMS

4. CANCELLATION POLICY

All cancellation requests must be submitted in writing to the Organizer.

4.1 Cancellation Before August 1, 2026

Participants may receive a refund of payments made, less the non-refundable deposit.

4.2 Cancellation On or After August 1, 2026

All payments are non-refundable.

If the Organizer is able to reassign the canceled space to an approved applicant from the waitlist, the Organizer may, at its sole discretion, issue a partial refund based on recovered funds.

5. TRANSFERS

Transfer of a reserved space may be requested prior to the event and is subject to approval by the Organizer.

Transfers are not guaranteed and are permitted only if the space can be reassigned to an approved applicant.

Any approved transfer is a private arrangement between the original participant and the replacement participant. The Organizer assumes no responsibility for financial arrangements between parties.

Transfers must be completed prior to the start of the retreat.

6. WAITLIST AND ALLOCATION

All spaces are limited and assigned in advance.

In the event of cancellation, the Organizer may offer the vacated space to an approved applicant from the waitlist.

7. ORGANIZER CANCELLATION

If the Organizer cancels the retreat, all retreat payments received by Embolden Co. will be refunded.

The Organizer is not responsible for reimbursement of third-party expenses, including but not limited to airfare, transportation, lodging outside retreat accommodations, or travel insurance.

8. FORCE MAJEURE

The Organizer shall not be liable for failure or delay in performance due to circumstances beyond its reasonable control, including but not limited to natural disasters, severe weather, illness outbreaks, government restrictions, or other unforeseen events.

In such cases, the retreat may be rescheduled, modified, or canceled. Refunds or credits will be issued at the discretion of the Organizer based on funds received.

9. MEDIA CONSENT

By participating, attendees grant permission for photo and video recording and use for promotional purposes unless written opt-out notice is provided prior to the retreat.

10. HEALTH AND PARTICIPATION

Participants confirm they are physically able to participate in retreat activities and agree to disclose relevant health or dietary requirements in advance.

11. PERSONAL RESPONSIBILITY

Participants are responsible for:

  • Travel arrangements and documentation

  • Personal belongings

  • Travel insurance (recommended)

  • Personal conduct during the retreat

12. COMMUNITY EXPECTATIONS

Participants agree to maintain respectful conduct within a Christ-centered environment, including confidentiality, respect for others, and cooperation with retreat guidelines.

13. ENTIRE AGREEMENT

By completing registration, the participant agrees to all terms contained in this document.

The Organizer reserves the right to make reasonable modifications to the schedule, accommodations, or programming as necessary.
