EMBOLDEN WOMEN'S RETREAT AGREEMENT


Retreat: Fall Women's 2025 Retreat

Dates: September 18–21, 2025
Location: Luxury Lodge, Gatlinburg, TN
Check-in: 5:30–7:00 PM, Thursday, September 18
Check-out: 10:00 AM, Sunday, September 21

Who It’s For: Christian women (18+) who are seeking God’s presence, vision, and authentic community.

What’s Included:

  • 3 nights and four days of lodging

  • All meals and snacks* (we gladly accommodate food allergies!)

  • We will have one group outing at a restaurant that is not included in the retreat cost and is to be paid separately by the retreat attendees.

  • Worship sessions, teaching, and guided ministry
     

RETREAT POLICY & AGREEMENT

By registering and paying for the Embolden Women’s Retreat, and selecting “YES” on the retreat policy form at checkout, you are agreeing to the terms outlined below. This agreement is designed to provide clarity, transparency, and shared expectations so we can focus on what really matters—encountering God together.

  • Shared Room (Standard Bed): $875

  • Shared Room (Upgraded Bed – Queen or King): $900

Regular Pricing

Begins July 14, 2025
 

  • Shared Room (Standard Bed): $950

  • Shared Room (Upgraded Bed – Queen or King guaranteed): $975

  • Private Room (Single Occupancy): Limited availability – see below

Payment Plans

For shared rooms, you may choose a 3-month payment plan of $317/month ($951 total).


Lodging Details
  • Shared rooms include 2–4 women per room

  • Upgraded beds are queen or larger, offered in select shared rooms

  • Room assignments are thoughtfully curated to foster connection and comfort

  • (2) Private rooms include a twin room and one master suite

Payment Info
  • A $200 non-refundable deposit is required to secure your spot (included in the registration cost)

  • Choose pay-in-full or a payment plan during checkout

  • Final payment due by September 12, 2025.

PAYMENT & DEPOSIT
A payment is required to hold your spot. The deposit and initial registration must be received to hold your spot.
 

If final payment is not received by the deadline, we reserve the right to cancel your reservation without refund of the deposit.

CANCELLATION POLICY

If you need to cancel:

  • Before July 31, 2025: Full refund minus $200 deposit

  • August 1–31, 2025: 50% refund of all fees paid

  • September 1 or later: No refunds available

  • All cancellations must be in writing to hello@emboldenco.org

  • Individual refund requests outside these terms will be considered case-by-case, but refunds are not guaranteed. If we are able to fill you spot from the waitlist, we may be able to provide an exception.
     

If the Organizer cancels the retreat:

  • You will receive a full refund of any fees paid to Embolden Co.

  • Organizer is not responsible for any third-party costs, such as airfare or travel insurance.
     

Each situation is considered individually. We recommend purchasing travel insurance to protect your investment.
 

If Embolden Co. must cancel the retreat for any reason, you will receive a full refund of your retreat payment (excluding third-party expenses like airfare or personal travel costs).

 

FORCE MAJEURE

Organizer shall not be held liable or responsible for any failure or delay in performance under this Agreement due to causes beyond its reasonable control, including but not limited to: natural disasters, acts of God, war, terrorism, epidemics or pandemics, governmental restrictions, labor disputes, power failures, or other unforeseen and extraordinary circumstances (collectively, “Force Majeure Events”). In the event of a Force Majeure Event, Organizer may cancel, modify, or reschedule the Retreat without liability, and will make every effort to issue appropriate refunds or credits if feasible.

MEDIA CONSENT

We may take photos or video during the retreat to share the experience and promote future events. By attending, you give your permission for us to use your image in promotional materials unless you let us know otherwise in writing before the event.

 

HEALTH & PARTICIPATION

By joining the retreat, you acknowledge that you’re physically able to participate in light physical activities such as walking or optional hiking. Please inform us of any health concerns or allergies in advance so we can best support you.

PERSONAL RESPONSIBILITY

You understand that:

  • You are responsible for your own travel arrangements and documentation.

  • You are encouraged (but not required) to purchase travel insurance.

  • You are responsible for your personal belongings and actions during the retreat.
     

COMMUNITY EXPECTATIONS

This is a sacred, Christ-centered environment. We expect all attendees to honor and respect others, maintain confidentiality, and help create a welcoming atmosphere.

AGREEMENT

  • Participate respectfully in the retreat environment

  • Allow for updates or changes in the schedule or accommodations, if needed
